The information we collect

We collect information when you contact us, whichever way you choose to do it — through the website, by telephone, by text message, by WhatsApp or by email.

When you make an enquiry through our website. The Contact page invites you to email us. We ask for your name, the address where the work is needed, a telephone number, a description of the problem and, if you are able, a photograph of the lock, handle or door. We use what you send only to respond to your enquiry, to give you a price, and to arrange work if you decide to go ahead.

Our lawful basis for this is that the processing is necessary to take steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us.

When you contact us by phone, text message or WhatsApp. Many enquiries reach us by telephone, SMS or WhatsApp rather than through the website. Where they do, we keep a record of your contact details and what you asked us about, for the same reasons as above. This includes your telephone number, your messages, and any photographs you send us of a door, lock or window.

Messages and photographs sent by WhatsApp are stored within the conversation on the phone used to run the business, and on WhatsApp’s servers. WhatsApp is operated by Meta. Message content is end-to-end encrypted in transit, but Meta processes information about the fact and timing of messages. If you would prefer not to use WhatsApp, please call or email us instead.

When we carry out work for you. We keep a record of the job. This includes your name, address and postcode, your telephone number and email address, the work we carried out and the parts we used.

We keep this so that we can invoice you, honour our guarantee on the work, order the right replacement parts if something needs attention later, and meet our obligations to keep accounting records.

We understand that a record of the locks and security fitted at your address is sensitive information. We keep it because we need it to stand behind our work, we do not share it with anyone else for marketing or any other purpose, and it is stored on encrypted, password-protected systems.

When you visit our website. Our website collects information about how the site is used, described under Cookies below. Our hosting provider also keeps standard server logs, including IP addresses, for security and to keep the site running.

Cookies and website analytics

A cookie is a small file stored on your device by a website.

Our website uses:

  • Google Analytics (_ga, _ga_*) — to understand how people find and use the site, so we can improve it.
  • Google tag (_gcl_au) — set automatically by Google’s tracking code. It is used by Google to link advertising clicks to activity on a website. We do not advertise with Google and do not use this information.
  • Jetpack Stats — basic visitor statistics provided by Automattic, the company behind WordPress.
  • Essential cookies — needed for the site to work properly.

You can block or delete cookies at any time through your browser settings. Blocking essential cookies may stop parts of the site working.

Who we share your information with

We do not sell your information, and we do not share it for marketing purposes.

We use the following service providers, who process information on our behalf:

  • Automattic — website hosting, security, visitor statistics, and sending the notification emails generated by our website
  • Google — website analytics
  • Microsoft — our business email is provided by Microsoft 365, so emails you send us are received and stored there
  • GoDaddy and Proofpoint — our email service is supplied through GoDaddy, and incoming email passes through Proofpoint’s spam filtering before it reaches us
  • Apple (iCloud) — our customer and job records are stored in iCloud, which is encrypted
  • Meta (WhatsApp) — where you choose to contact us by WhatsApp, your messages pass through and are stored on WhatsApp’s systems

Some of these providers are based outside the UK, including in the United States. Where information is transferred outside the UK, it is protected by safeguards approved for that purpose.

We may also share information where we are required to by law.

How we keep your information safe

Our customer and job records are stored on encrypted, password-protected systems, and access is limited to those who need it to carry out the work. We do not sell, rent or trade your information.

We are conscious that details of the locks and security fitted at your home are sensitive, and we treat them accordingly.

How long we keep it

Enquiries that do not lead to work are kept for 6 months, and then deleted.

Receipts and invoices for work we have carried out are kept for 6 years, because we are required to keep accounting records for that period.

If you would like us to delete information we hold about you sooner, please ask. We will do so unless we are required by law to keep it — which, in practice, means we can delete an enquiry at any time, but cannot delete an invoice until the six years have passed.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that is wrong
  • ask us to delete your information, where we do not need to keep it
  • object to, or ask us to restrict, how we use it
  • ask us to transfer your information to another provider
  • withdraw consent, where we have relied on consent

To exercise any of these, email contact@scotia-locksmiths.com or write to us at the address above. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk, by calling 0303 123 1113, or by writing to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.
